What is deal stage probability in HubSpot?

Deal stage probability is the percentage chance of winning that HubSpot assigns to each stage in a deal pipeline. HubSpot multiplies a deal’s amount by its stage probability to calculate the weighted amount used in pipeline totals and forecasts.

Every stage in a HubSpot deal pipeline has a win probability between 0% and 100%, set in the pipeline settings. Closed won is fixed at 100% and closed lost at 0%. Open stages take whatever values an admin enters. When a deal moves into a stage, it takes on that stage’s probability, and its weighted amount becomes the deal amount multiplied by that probability.

Weighted amounts appear in board view totals, in deal reports and in forecasting tools, depending on your subscription. A pipeline with 1,000,000 in open deals might show 350,000 weighted, and many managers treat the weighted figure as the realistic number. That only holds if the probabilities reflect what actually happens to deals in each stage.

In many portals the probabilities are still the defaults from setup, or numbers someone guessed years ago. Two problems are common. Probabilities that do not rise from one stage to the next, so deals lose weighted value as they progress. And probabilities that are far more optimistic than history, so the weighted pipeline is always bigger than what closes.

Teams that use probability well set it from data. Look at deals that entered each stage over the last year or two and calculate the share that ended in closed won. Round those figures, check that they rise stage by stage, and agree them with whoever owns the forecast. Revisit them whenever stages change or win rates shift.

Example

Halden Freight, a fictional logistics firm, had every open stage set between 20% and 40% from the original setup. A review of two years of closed deals showed that deals reaching the contract stage won 78% of the time. After updating the probabilities, weighted pipeline matched actual quarterly bookings much more closely.

Common mistakes

  • Leaving default probabilities in place and treating the weighted pipeline as an accurate forecast.
  • Setting a later stage to a lower probability than an earlier one, so advancing deals shrink in the forecast.
  • Changing probabilities without telling the people who report the forecast, so the number jumps with no explanation.
  • Forgetting to set a probability on new stages added to an existing pipeline.

Frequently asked questions

How is weighted amount calculated in HubSpot?

Weighted amount is the deal amount multiplied by the win probability of the stage the deal is in. A 50,000 deal in a 40% stage has a weighted amount of 20,000. Deals with no amount add nothing to weighted totals.

Can I set a different probability on one deal?

The stage probability applies to every deal in that stage. Some forecasting features let reps add their own judgment on individual deals, depending on your subscription, but the pipeline stage probability itself is set per stage, not per deal.
