HubSpot knowledge base articles missing metadata

A knowledge base article with no description or category still publishes, but customers searching your help center, and search engines, get less to go on. Review published articles for a blank title, summary or category, fill them in with the service owner, and check that the article shows up when a customer searches for the question it answers.

ServiceSERVICE-009Updated 2026-10-29

Why it matters

The description is what customers see under the title in help center search results and often in search engines. A blank one gives them no reason to click.

Categories drive how the help center is organized. An article with no category can be hard to reach except through search.

Help articles only deflect tickets if customers find them. Gaps in this metadata quietly push more questions back to your service team.

How to find it in HubSpot

  1. Open the knowledge base tool in HubSpot, usually under Service or Content.
  2. Sort or filter published articles by category and look for articles with no category assigned.
  3. Open a sample of articles and check that each has a clear title and a short summary or description.
  4. Search your public help center for a few common customer questions and note which articles do or do not appear.

How to fix it safely

  1. Agree a short list of categories with the service owner before reassigning anything, so the structure makes sense to customers.
  2. Write a one or two sentence description for each article that says which question it answers.
  3. Assign every published article to a category, and archive articles that are outdated rather than leaving them uncategorized.
  4. Search the help center again for the same questions and confirm the right articles now appear.

How Ancil checks this

Rule
SERVICE-009
What it looks for
Reads the knowledge articles HubSpot returns from its site search index and flags published articles whose title, description or category is blank. This is a sample of indexed articles, not a full audit of drafts or private articles.
Severity
Info.
Evidence shown
Up to 50 affected articles with their ID, title, URL and category.
Governed fix
Not automated. Ancil does not edit knowledge base articles. It lists the gaps, and your team (or an INSIDEA expert) updates the articles in HubSpot.
