HubSpot calls and meetings not being logged

If a portal has deals but no call or meeting records, the sales conversations behind those deals are not in HubSpot. Check deal timelines and activity reports, confirm how reps log calls and meetings, then connect calendars and calling tools so activity is recorded and associated automatically.

Why it matters

Calls and meetings are the evidence that a deal is real. Without them, managers cannot see which deals are being worked, and stale-deal and next-step reporting has nothing to measure.

Activity also gives handoffs their context. When a deal changes owner or moves to onboarding, the new person relies on the timeline. An empty timeline means starting from zero.

No activity at all usually has a simple cause: calendars or calling tools were never connected, or the team logs work in another system.

How to find it in HubSpot

  1. Open a handful of active deals and look at the activity timeline. Check for calls and meetings in the last month.
  2. If your subscription includes custom reports, build a report on calls and another on meetings, grouped by owner, for the last 90 days.
  3. In your own HubSpot profile and preferences, check whether a calendar and inbox are connected, and ask reps to do the same.
  4. Ask the team where they log calls and book meetings today. Note any external dialer or scheduling tool.

How to fix it safely

  1. Connect each rep’s calendar and inbox to HubSpot so meetings are logged and associated with contacts and deals.
  2. If the team uses an external calling or meeting tool, set up its HubSpot integration so activity syncs to the right records.
  3. Agree a simple rule: every customer call and meeting is logged against the deal or contact it relates to.
  4. Review activity by owner in pipeline meetings for a few weeks until logging is routine.

How Ancil checks this

Rule
SALES-001
What it looks for
Runs only when Ancil can read both the call and meeting inventories and at least 10 deals were read. It fires when no call and no meeting records were returned. Ancil reads up to 1,000 calls and 1,000 meetings.
Severity
Warning.
Evidence shown
The deal count (whole-portal when HubSpot provides it) and zero calls and meetings.
Governed fix
Not automated. Ancil reports the evidence and does not log or change activity. Your team, or an INSIDEA expert, connects tools and sets the logging process in HubSpot.

Ancil connects to HubSpot read-only in about 60 seconds. Nothing changes in your portal without your approval.
