HubSpot custom objects not associated with contacts or deals

A custom object is useful when its records connect to the people, companies, deals or tickets they describe. If the object definition has no association to a business object, or its declared associations are never used by any record, the data sits on its own and no report or workflow can follow it. Review the relationship design, then link records only where you have evidence.

Why it matters

Reports, lists and workflows reach custom object records through associations. An object with no link to contacts, companies, deals, tickets or another custom object cannot appear on those records or in cross-object reports.

A declared association that no record uses often means a migration loaded the records but not their links, or that the relationship is obsolete. Both need a decision before more data is added.

How to find it in HubSpot

  1. In Settings, open the data model or custom objects area, if your subscription includes custom objects.
  2. For each custom object, list the objects it can be associated with.
  3. Note any custom object with no association to contacts, companies, deals, tickets or another custom object.
  4. Open a sample of records for each object and check whether the declared associations are actually filled in.

How to fix it safely

  1. Confirm with the object owner which relationships the business needs. Write them down as the approved blueprint.
  2. Add only the associations the blueprint calls for, before importing more records or building automation.
  3. For records loaded without links, rebuild the associations from the source system’s data, starting with a small test batch.
  4. Remove declared associations that the blueprint no longer needs, once you confirm nothing depends on them.

How Ancil checks this

Rule
ARCH-010, MIGRATION-003
What it looks for
Reads the custom object definitions and flags any object with no association to contacts, companies, deals, tickets or another custom object. Separately, for each custom object where Ancil can read records, it checks a sample of up to 100 records against each declared association and flags associations that none of the sampled records use.
Severity
Warning for both checks.
Evidence shown
Each affected object’s ID, name and declared associations, plus, for unused associations, the relationship, the source and target objects and the sample size.
Governed fix
Not automated. Ancil reports the evidence only. Your team, or an INSIDEA expert, designs and adds associations. Ancil does not change custom objects or associations automatically.
