HubSpot invoices missing a contact or line items

HubSpot expects an invoice to have a contact and at least one line item before it can be sent for payment. Open or paid invoices that lack either, and invoices with no customer and no line items at all, cannot be reconciled with confidence. Find them, compare each with your payment processor and accounting records, and restore only the relationships you can prove.

Why it matters

An invoice without a contact or company has no customer history behind it. Account managers cannot see it on the customer record, and revenue reports by company or contact miss it.

An invoice without line items has a total but no explanation of what was sold. That weakens product reporting, renewals and any migration into or out of HubSpot.

An open or paid invoice that has lost these links is more urgent. It is already in front of a customer or already in your revenue, so the gap is visible to finance and auditors.

How to find it in HubSpot

  1. Open the invoices index under Commerce and switch to the table view.
  2. Add the Status, Associated contact, Associated company and Amount billed columns.
  3. Filter to invoices with no associated contact, then repeat for no associated company.
  4. Open a sample of affected invoices and check whether line items are present.
  5. Prioritise invoices with an open or paid status.

How to fix it safely

  1. For each invoice, find the matching record in your payment processor or accounting system and confirm the customer and items billed.
  2. Restore the contact, company and line item relationships that the evidence supports.
  3. If you cannot prove the customer or items, flag the invoice for finance review instead of guessing.
  4. Fix the cause: check imports, integrations and any process that deletes or merges contacts, because merges and deletions can break invoice links.

Before you change anything: Invoices are financial records. A responsible person in finance should approve any change, and changes should match the accounting system of record.

How Ancil checks this

Rule
COMMERCE-013, COMMERCE-018
What it looks for
Checks up to 500 invoices against their contact, company and line item associations. One check flags invoices with no contact, no company and no line items. A second flags invoices with an open or paid status that are missing a contact or missing line items. Each check runs only when the association reads it needs succeed.
Severity
Warning for both checks.
Evidence shown
The sample size and invoice IDs, plus, for open or paid invoices, the status and whether the contact, the line items or both are missing.
Governed fix
Not automated. Ancil reports the evidence only. Your finance team, or an INSIDEA expert, restores relationships, because Ancil never changes commerce or financial records automatically.
