HubSpot tickets not linked to a contact or company

A ticket with no associated contact or company has no customer behind it in HubSpot. Agents lose history, routing by customer tier fails, and service reports undercount accounts. Find the unlinked tickets, associate the right customer, and fix the channel that created them.

ServiceSERVICE-008Updated 2026-10-28

Why it matters

Agents rely on the contact and company record to see past tickets, open deals and customer tier. An unlinked ticket forces them to start from nothing.

Routing, SLA and reporting rules that depend on company properties do not apply to unlinked tickets.

Account managers miss service problems on their accounts, so renewal conversations start without the full picture.

How to find it in HubSpot

  1. Open CRM > Tickets in the table view.
  2. Add the filters for associated contacts and associated companies, set so neither is known, if your view supports association filters.
  3. Add the Source and Create date columns to see which channel created the unlinked tickets.
  4. Open a few of them and check whether the requester’s email exists as a contact.

How to fix it safely

  1. Associate each ticket with the right contact and company, using the requester’s email or other approved evidence.
  2. Fix the source: check that email, chat and form channels create or match a contact when a ticket is opened.
  3. For tickets created by integrations or imports, map the customer fields so the association is made on creation.
  4. Recheck service reports and routing once associations are in place.

Before you change anything: Only associate a ticket when the evidence is clear. Linking a ticket to the wrong customer exposes their issue to the wrong account team.

How Ancil checks this

Rule
SERVICE-008
What it looks for
Checks associations for the sampled tickets, up to 500 of the most recently updated. Both the ticket-to-contact and ticket-to-company checks must succeed on the same sample. Flags tickets with neither a contact nor a company. Closed tickets in the sample are included.
Severity
Info. Warning when 20% or more of sampled tickets are unlinked.
Evidence shown
The sample size, the association checks used and the IDs of affected tickets.
Governed fix
Not automated. Ancil does not change associations. It reports the evidence, and your team (or an INSIDEA expert) links the records in HubSpot.
