Disabled HubSpot workflows: clean up or delete

Disabled workflows are paused or abandoned automation. A few are normal. When there are many, or when more than half of all workflows are off, nobody can tell what is actually running. Review each one, document intentional pauses, and archive the rest.

WorkflowsWORKFLOW-001WORKFLOW-003Updated 2026-10-28

Why it matters

A cluttered workflow list slows every change, because admins cannot tell which automation is live without opening each one.

Old workflows are sometimes switched back on by mistake, re-enrolling contacts into outdated emails or property updates.

How to find it in HubSpot

  1. Open Automation > Workflows.
  2. Filter or sort by status to show workflows that are off.
  3. Sort by last updated to find the oldest ones first.
  4. Note the total number of workflows, so you can see what share is disabled.

How to fix it safely

  1. For each disabled workflow, confirm with the owner whether it is paused on purpose.
  2. Add a short description to intentional pauses, including when they should be reviewed again.
  3. Delete or archive the rest after checking that no other workflow, list, or report depends on them.
  4. Adopt a naming convention (team, purpose, status) so the list stays readable.

Before you change anything: Before deleting, check whether the workflow is referenced by another workflow or used in reporting. Deleted workflows cannot be restored from the list.
