HubSpot contacts missing a lifecycle stage

Lifecycle stage drives funnel reporting, segmentation, and lifecycle-based automation. Contacts without one fall out of all three. Filter contacts where lifecycle stage is unknown, set it from what you know (form fills, deals, customer status), and add a workflow that sets it going forward.

Why it matters

Funnel and conversion reports count contacts by lifecycle stage, so blanks make conversion rates wrong.

Lifecycle-based workflows and lists skip contacts with no stage, so they never receive the right nurture or handoff.

How to find it in HubSpot

  1. Open CRM > Contacts.
  2. Add the filter Lifecycle stage is unknown.
  3. Add the Original source, Create date, and Associated deals columns to see where these contacts came from.

How to fix it safely

  1. Set stages in bulk by group: contacts with a closed won deal become Customer, contacts with open deals become Opportunity, and so on.
  2. Fix the source. Imports and integrations should set a lifecycle stage on create.
  3. Add a workflow that sets a default stage (for example Lead or Subscriber) when a contact is created without one.

Before you change anything: Imports and workflows generally move lifecycle stage forward only. Moving a contact backwards can require clearing the value first, so plan bulk changes carefully.

How Ancil checks this

Rule
CONTACT-001
What it looks for
Measures the share of contacts with no lifecycle stage, using an exact portal count where available and a sample otherwise.
Severity
Info below 30% of contacts. Warning at 30% or more.
Evidence shown
The count and percentage, plus email addresses for up to 50 affected contacts.
Governed fix
