HubSpot dropdown properties with duplicate option labels

When two visible options on a dropdown, radio or checkbox property share the same label but store different internal values, users cannot tell them apart. Records end up split across both values, so reports, lists and workflows only catch half of them. Find the duplicate options, choose one value to keep, move records onto it, and then hide the other.

Why it matters

Reports, lists and workflow branches filter on the stored value, not the label. If "Partner" is stored as both partner and partner_1, any filter on one value misses every record that holds the other.

Imports and integrations usually match on the internal value. Duplicate labels make it easy for a mapping to point at the wrong option, and the error stays hidden because both look the same on screen.

How to find it in HubSpot

  1. In Settings, open Properties and choose the object.
  2. Open each dropdown, radio or checkbox property you rely on and view its options with their internal values.
  3. Look for options whose labels match once you ignore capital letters, spacing and punctuation.
  4. For each pair, use a list or a filtered view to count how many records hold each value.

How to fix it safely

  1. Decide which internal value to keep, usually the one most records and integrations already use.
  2. Update workflows, forms, imports, integration mappings and reports that point at the value you plan to retire.
  3. Move records from the retired value to the kept value, for example with a list and a bulk edit, after testing on a small group.
  4. Hide the retired option or give it a clearly different label, so nobody picks it again.

Before you change anything: Deleting an option can leave records holding a value that no longer appears in the property. Move the records first, then hide or remove the option.

How Ancil checks this

Rule
ARCH-008
What it looks for
Checks every active property that has more than one option. Ignoring hidden options, it flags properties where two or more options have the same label once capital letters, spacing and punctuation are ignored, but store different values.
Severity
Info. Warning when 5 or more properties are affected.
Evidence shown
For up to 20 properties: the object, internal name, label and each duplicated option label with its stored values. Affected property IDs for up to 50 properties.
Governed fix
Not automated. Ancil reports the evidence only. Your team, or an INSIDEA expert, merges the options. Ancil does not change property definitions automatically.
