Duplicate HubSpot properties

When two or more properties share a label, such as two "Industry" fields, teams fill in different ones and reports disagree. List properties by label, choose one source-of-truth property for each, then move data and references over before retiring the rest.

Why it matters

Forms, imports, workflows, and reports may each point at a different copy, so the same question has different answers in different places.

Duplicates multiply during migrations, integrations, and when several admins work in one portal.

How to find it in HubSpot

  1. In Settings, open Properties and choose an object, such as Contact.
  2. Sort by property label to put identical labels side by side.
  3. For each pair, check the internal name, field type, and how many records have a value.
  4. Repeat for companies, deals, and tickets.

How to fix it safely

  1. Pick one source-of-truth property per label, usually the one with the most data and usage.
  2. Copy values from the duplicate into the chosen property with a workflow or import.
  3. Update every form, workflow, list, report, and integration that uses the duplicate.
  4. Archive the duplicate only after nothing references it.

Before you change anything: Archiving a property that an integration or workflow still uses can break it silently. HubSpot shows where a property is used; check that first.

How Ancil checks this

Rule
ARCH-003
What it looks for
Groups active properties by object and normalized label, and flags groups of two or more that include a custom property. It reports only when there are at least 3 such groups.
Severity
Info. Warning at 10 or more duplicate groups.
Evidence shown
Example duplicate labels by object.
Governed fix
Not automated. Property consolidation changes how data flows, so Ancil recommends a plan and your team or an INSIDEA expert carries it out.
