HubSpot users with no login in 90 days

Users with no successful login in 90 days may have left, changed role, or never adopted HubSpot. Each can hold a paid seat and live access. Check the last active date for every user, confirm with managers, and remove or reduce access for accounts that are no longer needed.

GovernanceGOV-003Updated 2026-10-28

Why it matters

Paid seats assigned to people who do not use them are direct cost.

Accounts that belong to former employees are a security risk, and their records, workflows, and reports may still depend on them.

How to find it in HubSpot

  1. Open Settings > Users & Teams.
  2. Sort by the Last active column.
  3. Note users with no activity in 90 days, and check which paid seats they hold.

How to fix it safely

  1. Confirm with each manager whether the person still needs access. Service accounts and new hires can explain missing logins.
  2. Before removing a user, reassign the records, workflows, and reports they own.
  3. Remove the user or move them to a free view-only seat, and reclaim paid seats.
  4. Add user review to your offboarding checklist so this does not build up again.
