HubSpot forms not updated in over a year

A form that has not been edited in a year may still set retired property values, notify people who left, or show consent text that no longer matches your policy. Sort forms by last updated, check each older form against today’s process, and retire forms that are no longer used.

FormsFORM-004Updated 2026-10-28

Why it matters

Forms set property values on every submission. A hidden field that still sets an old lifecycle stage, lead source or campaign keeps creating bad data long after the process changed.

Follow-up depends on the form too. Notification recipients, thank-you redirects and follow-up emails can point to people and pages that no longer exist.

Consent and privacy text may be out of date. What a form should say depends on your audience and where they are, so a responsible person should review it. This page is not legal advice.

How to find it in HubSpot

  1. Open Marketing > Forms.
  2. Sort by last updated date, oldest first.
  3. Note forms not updated in 12 months or more, and check their recent submission counts.
  4. Open each older form and review the fields, hidden field values, notification recipients and what happens after submission.

How to fix it safely

  1. Retire forms that get no submissions and are not embedded on live pages, after confirming nothing depends on them.
  2. Update hidden field values and property mappings so they match the current lifecycle model and lead source definitions.
  3. Check notification recipients and follow-up actions, and replace anyone who has left.
  4. Send consent and privacy wording to the person responsible for compliance, and change it only with their approval.

Before you change anything: Changing a field on a live form changes data for every future submission, and removing a field can break workflows or lists that filter on it. Check dependencies first.

How Ancil checks this

Rule
FORM-004
What it looks for
Reviews forms that are not archived, and flags when 3 or more were last updated 365 or more days ago. Runs only when Ancil can read your forms.
Severity
Info.
Evidence shown
Names, IDs and last updated dates for up to 50 forms.
Governed fix
Not automated. Ancil reports the forms and does not edit, archive or delete them. Your team, or an INSIDEA expert, reviews and updates each form, and consent text changes need sign-off from a responsible person.

Frequently asked questions

Is an old form always a problem?

No. A simple newsletter form can work for years. Age is a prompt to check fields, routing and consent text, not proof that something is wrong.
