What are quotes in HubSpot?

A quote in HubSpot is a document built from a deal’s line items that a rep shares with a buyer as a web page or PDF. It includes pricing, terms and an expiration date, and depending on your subscription it can collect signatures and payment.

Quotes turn a deal into a proposal the buyer can act on. A rep creates the quote from the deal, picks a template, reviews line items and terms, and shares a link. Because the quote is built from the deal, products, prices and contacts stay consistent with what is in the CRM.

Every quote has an expiration date. After it passes, the buyer can no longer accept it, which protects you from old pricing being accepted months later. Quotes can also require approval before they are sent, for example when a discount exceeds a set limit. E-signature, payment collection and approvals depend on your subscription.

Expired quotes are a sign of deals that need attention. Either the deal is still alive and needs a fresh quote, or it is dead and should be closed as lost. Leaving expired quotes on open deals hides both situations and makes it unclear which version of the pricing is current.

Set a sensible default expiration, use approval rules for large discounts, and review open deals with expired quotes every week as part of pipeline review.

Example

Silverline Packaging, a fictional manufacturer, had dozens of open deals with quotes that expired months earlier. Reps were negotiating by email from PDF copies, so nobody knew which price was current. The team began reviewing expired quotes weekly, reissuing or closing each deal, and set 30 days as the default expiration.

Common mistakes

  • Leaving open deals with expired quotes instead of reissuing or closing them.
  • Setting very long expiration dates, so old pricing stays acceptable.
  • Sending quotes with large discounts and no approval step.
  • Editing prices in a PDF outside HubSpot, so the quote and the deal disagree.
