HubSpot quotes past expiration or not linked to a deal

A quote whose expiration date has passed but whose status still looks open gives buyers and reps a false picture of what is on offer. Quotes with no status, no expiration date or no deal cause the same confusion. List expired quotes, confirm each with the deal owner, and expire, replace or close them through your normal approval process.

Why it matters

Quote conversion and pipeline follow-up reports treat open quotes as live offers. Expired quotes that never moved to a final status inflate those numbers and send reps chasing deals that ended weeks ago.

A buyer who opens an old quote link may try to accept pricing you no longer honor. Clearing expired quotes protects both the customer relationship and your margins.

A quote with no associated deal loses its sales context. Approvals, attribution and renewal reporting all follow the deal, so an unlinked quote is invisible to them.

How to find it in HubSpot

  1. Open the quotes index. In most portals it is under Commerce, or under Sales in older portals.
  2. Add the Expiration date, Status and Associated deal columns.
  3. Filter to Expiration date is before today, then sort by status to find quotes that never reached an expired, rejected or closed state.
  4. In a second view, filter to Status is unknown or Expiration date is unknown.
  5. Look for quotes with no associated deal and note the owner of each.

How to fix it safely

  1. Send each owner their list. The owner confirms with the buyer whether the quote is dead, still in negotiation or needs a fresh version.
  2. Replace live negotiations with a new quote that carries current pricing and a new expiration date, rather than editing the old one.
  3. Associate each unlinked quote with the correct deal, once the owner confirms which deal it belongs to.
  4. Set a default expiration period in your quote templates and add a regular review of quotes about to expire.

Before you change anything: Quotes may be tied to approvals, e-signatures and payment links. Follow your commercial approval process instead of bulk-editing quote status.

How Ancil checks this

Rule
COMMERCE-009, COMMERCE-004, COMMERCE-007
What it looks for
Reads up to 500 quotes. Flags quotes whose expiration date is before today and whose status is not exactly Expired, Rejected or Closed, so a live quote that skipped approval still counts. Separately notes quotes with a blank status or a blank expiration date, which draft and legacy quotes can explain. It also checks the same quotes against their deal associations and flags quotes linked to no deal.
Severity
Warning for expired quotes without a final status and for quotes with no deal. Info for quotes missing status or expiration.
Evidence shown
Quote IDs, names, status and expiration date for up to 50 quotes, plus the sample size and IDs of quotes with no deal.
Governed fix
Not automated. Ancil reports the evidence only. Your team, or an INSIDEA expert, updates quotes, because Ancil never changes commerce or financial records automatically.

Frequently asked questions

Should I delete expired quotes?

Usually not. Expired quotes are part of the deal history. Move them to a final status so reports exclude them, and keep them for reference.
