Workflows often run for days or weeks, with delays between actions. During that time the record changes: a lead books a meeting, a deal closes, a contact unsubscribes from a subscription type, or a customer churns. Without an exit, the workflow does not notice. The record keeps receiving nurture emails, rotation tasks or internal alerts that were written for a situation that is over.
HubSpot gives you several ways to define an exit, depending on the workflow type and your subscription. Goal criteria end the workflow when the desired outcome is reached. Unenrollment settings can remove records that stop meeting the enrollment criteria. Suppression lists keep certain records out entirely. If-then branches can also route records to the end when a condition is true.
The cost of a missing exit grows with workflow length. A two-step notification rarely needs one. A ten-email nurture over six weeks almost always does. Exits also make reporting more honest, because goal conversion tells you how many records reached the outcome instead of how many simply ran out of steps.
When you review a workflow, ask one question: if this record’s situation changed halfway through, would we still want the next action to run? If the answer is no, add an exit for that change.
