How to find duplicate contacts in HubSpot

HubSpot deduplicates on email, but variations in case, spacing, imports, and integrations still create duplicates. Use HubSpot’s duplicate management tool where your subscription includes it, review each pair before merging, and fix the import or integration that creates them.

ContactsCONTACT-011Updated 2026-10-28

Why it matters

Activity, emails, and deals split across two records, so reps miss context and reports double count.

Duplicates can count twice toward marketing contact limits, which affects your HubSpot bill.

How to find it in HubSpot

  1. Open CRM > Contacts, then Actions > Manage duplicates, if your subscription includes duplicate management.
  2. Without it, export contacts and look for repeated email addresses after converting them to lowercase and trimming spaces.
  3. Check recent imports and integration-created records first. They are the usual source.

How to fix it safely

  1. Before merging, compare owners, lifecycle stages, consent, and associated deals on both records.
  2. Merge so the record with the most complete history is the primary.
  3. Fix the source: map the email field correctly in imports and integrations, and normalize case before syncing.

Before you change anything: Merges in HubSpot cannot be undone. Review consent and subscription status on both records before merging.

How Ancil checks this

Rule
CONTACT-011
What it looks for
Groups sampled contacts by normalized email (lowercased and trimmed) and flags addresses that appear on more than one record.
Severity
Info below 10 duplicate addresses. Warning at 10 or more.
Evidence shown
Each duplicate email address with the contact IDs that share it, for up to 50 groups. This is sample evidence, not a portal-wide merge list.
Governed fix
Not automated. Ancil does not merge contacts automatically. It gives your team the evidence to review each pair, because merges cannot be reversed.
