HubSpot contacts missing first and last name

A contact with neither a first name nor a last name cannot be personalized and is hard to recognize in any view. When 10% or more of contacts have no name, find the sources that create them, fill names where you have real data, and require names on the forms that feed your database.

Why it matters

Personalization tokens fall back to a default value or a blank. An email that opens with "Hi there" to a known customer reads as mass mail, and a missing fallback can produce a broken greeting.

Sales reps cannot tell who a nameless record is from a list view. They open each record or skip it, and duplicates are harder to spot because nobody recognizes the person.

Nameless records usually point to a specific source: a form without name fields, an integration that maps only email, or an import file with the name columns left unmapped.

How to find it in HubSpot

  1. Open CRM > Contacts and switch to the table view.
  2. Add the filters First name is unknown and Last name is unknown. Both must apply.
  3. Add the Original source, Create date and Email columns.
  4. Sort by Original source or Create date to see which form, import or integration produces most of these records.

How to fix it safely

  1. Fix the source first: add first and last name to the forms that create these contacts, and map name fields in imports and integrations.
  2. Fill existing gaps where you have real data, such as an email signature, a call log, or a data enrichment tool if your subscription includes one.
  3. Use progressive profiling on forms, if your subscription includes it, to ask returning visitors for the missing fields.
  4. Set a fallback value for first name tokens in emails, so a missing name never produces a broken greeting.

Before you change anything: Splitting an email address such as j.smith@ into a first and last name creates confident but wrong data. Only write names you can trust, and avoid bulk guesses.

How Ancil checks this

Rule
CONTACT-004
What it looks for
Counts contacts with both first name and last name empty. A contact with either one filled is not counted. The finding appears when these contacts are 10% or more of the contacts measured. Ancil uses HubSpot’s portal-wide count when it is available and consistent with the records read, and the contacts read otherwise.
Severity
Info from 10% to 29%. Warning at 30% or more.
Evidence shown
The count, the population it was measured against, whether the count is exact or from the records read, and contact IDs for up to 200 affected records.
Governed fix
Supported. After a portal owner approves it, Ancil creates one active list named "[Ancil] Contacts missing names" that holds every contact with no first or last name. It does not write or guess any names. Your team fills them in, and a fresh audit confirms the result.
