HubSpot deals with an amount but no close date

An open deal with an amount but no close date adds value to the pipeline total but never lands in a forecast period. Filter open deals where amount is known and close date is unknown, then have each owner set a real date or clear the amount until a timeline exists.

Why it matters

Pipeline totals and forecasts disagree when these deals exist. The board view and pipeline reports count the amount, but any report grouped by close date leaves it out, so leadership sees two different numbers and trusts neither.

The value is often large. Reps tend to enter an amount early, when the buyer shares a budget, and skip the date because no timeline has been agreed. That leaves revenue in the pipeline with nothing to say when it might arrive.

This is a sharper version of a missing close date. A deal with no date and no amount is clutter. A deal with an amount and no date actively distorts the revenue picture.

How to find it in HubSpot

  1. Open CRM > Deals and switch to the table view.
  2. Add the filter Close date is unknown.
  3. Add the filter Amount is known, and exclude deals with an amount of zero.
  4. Add the filter Deal stage is none of, and select the Closed won and Closed lost stages in every pipeline you use.
  5. Add the Deal owner, Amount, and Create date columns, sort by Amount, and save the view as "Open deals with amount, no close date".

How to fix it safely

  1. Start with the largest amounts. Send each owner their list and ask for a realistic expected close date.
  2. If the buyer has not agreed any timeline, clear the amount or move it to a separate property until one exists, so the pipeline total only counts revenue with a date.
  3. Close deals that have no path forward as Closed lost with a lost reason, rather than inventing a date.
  4. Prevent recurrence: in your deal pipeline settings, require Close date at the same stage where Amount becomes required.

Before you change anything: Do not bulk-fill a placeholder date such as the end of the quarter. It moves the problem from "missing" to "wrong" and makes the forecast look more certain than it is.

How Ancil checks this

Rule
DEAL-008
What it looks for
Counts open deals (deals in closed stages are excluded) that have an amount greater than zero and an empty close date. The count is the whole-portal total when HubSpot returns one, otherwise the count in the deals Ancil read. Ancil also adds up the amounts of up to 50 sampled affected deals.
Severity
Warning. Critical when 10 or more deals are affected, or when the sampled amounts add up to more than 50,000.
Evidence shown
The count, whether it is exact, the summed amount of the sampled deals, and names, owners, and amounts for up to 50 affected deals.
Governed fix
Not automated. Ancil reports the evidence and does not change any deal. Your team, or an INSIDEA expert, sets the dates or clears the amounts in HubSpot, and a fresh audit confirms the result.

Frequently asked questions

Why not just set every missing close date to the end of the quarter?

Because the forecast would then count that revenue in a period nobody has agreed with the buyer. A clear amount with no date is more honest than a confident date that is wrong.
