HubSpot email subscription types inactive or undocumented

Every marketing email in HubSpot sends under a subscription type, and those types drive the preference center contacts see. If no customer-facing email type is active, a default type is inactive, or active types have no description, review them with your marketing and legal owners. This page is not legal advice.

Why it matters

Subscription types are how contacts choose what they receive and how HubSpot decides who can be emailed. If the only types are inactive or internal, marketing sends either cannot be governed properly or rely on settings nobody has reviewed.

An inactive default type creates confusion. Teams expect new emails and forms to use it, but contacts cannot actually subscribe to or manage it, which makes the preference center hard to understand.

Contacts read the name and description of each type in the preference center. A type with no description leaves them guessing what they signed up for, and leaves reviewers unable to confirm each type has a clear purpose.

How to find it in HubSpot

  1. In Settings, open the marketing email settings and find the subscription types section.
  2. List every email subscription type, noting whether it is active, whether it is a default, and whether it is internal.
  3. Check that at least one active, customer-facing email type exists for each brand or business unit you send from, if your subscription includes business units.
  4. Read the description of each active type as a contact would see it.
  5. Open your preference center page and confirm it shows the types you expect.

How to fix it safely

  1. Agree the subscription model with the marketing owner and a responsible person for compliance, such as your legal or privacy lead.
  2. Activate, replace, or retire each inactive default on purpose, and record why.
  3. Write a short description for each active type that says what the contact will receive and roughly how often.
  4. Check that each marketing email uses the right type before the next send.

Before you change anything: Retiring or merging subscription types can change who is allowed to receive email. A responsible person should approve the plan before anything changes. This page is not legal advice.

How Ancil checks this

Rule
MARKETING-008, MARKETING-009, MARKETING-010
What it looks for
Reads the communication preference definitions. MARKETING-008 flags when marketing email assets exist but there is no active, customer-facing (non-internal) email subscription definition. MARKETING-009 flags customer-facing email definitions marked as default that are not active. MARKETING-010 flags active customer-facing email definitions where both the purpose and the description are blank.
Severity
MARKETING-008 and MARKETING-009 are warnings. MARKETING-010 is info.
Evidence shown
Counts of marketing emails and subscription definitions, plus the name and business unit for up to 50 affected definitions.
Governed fix
Not automated. Ancil never changes subscription types or consent. It reports the evidence, and your team (or an INSIDEA expert) makes any change after a responsible person approves it.
