HubSpot emails missing sender name, reply-to or sending domain

A live or scheduled marketing email needs a sender name, a from address, a reply-to address and a connected sending domain. If any of these is blank, replies can go nowhere and deliverability can suffer. Check each scheduled or published email and complete the sender settings before the next send.

Why it matters

Recipients decide whether to open an email based on who it is from. A blank or generic sender name lowers trust, and a missing reply-to means customer replies are lost or land in an inbox nobody watches.

The sending domain affects authentication and deliverability. An email sent without a connected, authenticated domain is more likely to be filtered as spam, which hurts every later send too.

Sender settings are often copied from an old template. When a person leaves or a domain changes, every email cloned from that template carries the gap forward.

How to find it in HubSpot

  1. Open Marketing > Email and filter to scheduled and published emails.
  2. Open each email and review the sender name, from address and reply-to address in its settings.
  3. In Settings, open the domains section and confirm your email sending domain is connected and authenticated.
  4. Check automated emails used in workflows, not only one-off sends.

How to fix it safely

  1. Agree a standard sender identity for each type of email, for example a named person for sales follow-ups and a team name for newsletters.
  2. Set a reply-to address that a real person or shared inbox monitors.
  3. Connect and authenticate the sending domain if it is missing, with help from whoever manages your DNS.
  4. Send a test to an internal address and confirm the sender, reply handling and unsubscribe link before the next live send.

Before you change anything: Changing an automated email affects every contact who enters that workflow after the change. Review it with the workflow owner first.

How Ancil checks this

Rule
MARKETING-014
What it looks for
Looks at marketing emails in a published, scheduled or active state, or with a published date, from up to 500 email assets. Flags any where the sender name, sender email, reply-to address or active sending domain is blank.
Severity
Warning.
Evidence shown
For up to 50 emails: the name, current state and which sender fields are missing.
Governed fix
Not automated. Ancil does not change emails or domains. It reports the evidence, and your team (or an INSIDEA expert) updates the sender settings in HubSpot.
