HubSpot sequences with duplicate names, no owner, or no steps

Sequences send email to real prospects, so each one needs a clear name, an owner, and working steps. Duplicate names, sequences with no owner, and sequences with no steps are signs of copies and abandoned drafts. Review the sequence list, retire what is unused, and document purpose and owner for the rest.

Why it matters

When two sequences share a name, reps enroll contacts in the wrong one and reports split results between them. Nobody can say which version is current.

A sequence with no accountable owner has no one to update its copy, fix its exit criteria, or retire it. Outbound email keeps going out under the company’s name with nobody watching it.

A sequence with no email or task steps does nothing when a contact is enrolled. Reps think follow-up is happening when it is not.

Enrollments that point to a sequence you cannot see, or that have no enrolling user, make it hard to answer a simple question: who is emailing this contact, and why?

How to find it in HubSpot

  1. Open the Sequences tool (under Automation in most portals) and view all sequences, not just your own, if your permissions allow.
  2. Sort by name and look for duplicates or near-duplicates, such as copies with "(1)" or a rep’s name added.
  3. Open sequences that have no recent enrollments and check whether they contain any steps.
  4. For each sequence, note who owns it and who uses it. Ask the team about any you cannot place.
  5. On a few contacts, check the sequence enrollment on the contact record to confirm who enrolled them.

How to fix it safely

  1. Pick one sequence per purpose and audience. Rename the keeper with a clear convention, such as audience, purpose, and owner.
  2. Retire duplicates and empty sequences after confirming nobody has active enrollments in them.
  3. Give every remaining sequence a named owner, an intended audience, enrollment rules, and exit criteria.
  4. Before using a rebuilt sequence with customers, test it by enrolling an internal contact. Do not re-enroll real contacts automatically.

Before you change anything: Check active enrollments before deleting or editing a sequence. Changes can affect contacts who are mid-sequence.

How Ancil checks this

Rule
SALES-005, SALES-006, SALES-007, SALES-008, SALES-009, SALES-004
What it looks for
Ancil reads the sequence inventory when your connection allows it. SALES-005 groups sequences by name (ignoring case and extra spaces, and skipping names that start with "untitled") and flags groups of two or more. SALES-006 flags sequences with no owning user, when there are at least 3 sequences. SALES-007 flags sequences whose definition HubSpot returned with zero steps; Ancil inspects the first 20 sequences in detail. SALES-008 and SALES-009 check enrollments for a sample of up to 10 contacts, flagging enrollments that point to a sequence outside the readable inventory or that have no enrolling user. SALES-004 notes when at least 10 deals were read but no sequences exist, which may be intentional.
Severity
SALES-005 and SALES-007 are warnings. SALES-004, SALES-006, SALES-008, and SALES-009 are info.
Evidence shown
Duplicate groups with sequence IDs (up to 20 groups), the number of sequences without an owner, the number of inspected and empty definitions, and contact and sequence IDs for flagged enrollments.
Governed fix
Not automated. Ancil reports the evidence and does not edit, retire, or enroll anything in sequences. Your team, or an INSIDEA expert, makes the changes in HubSpot.

Frequently asked questions

Why might Ancil show no owner for a sequence that has one?

Owner details depend on what the HubSpot connection can read, and migrated sequences sometimes lose this metadata. Treat the finding as a review signal and confirm the owner in HubSpot.
