Too many static lists in HubSpot

A static list is a snapshot; an active list updates as contacts change. When most lists are static, your emails and workflows target people who no longer fit. Find your most-used static lists and rebuild those with clear criteria as active lists.

ListsLIST-003Updated 2026-10-28

Why it matters

Contacts who change role, become customers, or unsubscribe stay in static lists, so messages reach the wrong people.

Static lists are often created for one campaign and then reused long after the criteria stopped being true.

How to find it in HubSpot

  1. Open CRM > Segments (Lists in older portals).
  2. Filter by type to compare how many static and active lists you have.
  3. Sort static lists by last updated and check which are still used in emails or workflows.

How to fix it safely

  1. Start with the 10 static lists used most often in emails and workflows.
  2. Recreate each one as an active list using the criteria it was meant to represent.
  3. Swap the new active list into the emails and workflows, then retire the static one.
  4. Keep static lists only for true one-time snapshots, such as an event attendee list.
