Lists are called segments in newer HubSpot portals, but the two types work the same way. When you create one, you choose whether it is active or static. An active segment re-evaluates its filters continuously, so a contact who changes lifecycle stage or fills in a form can join or leave without anyone touching it. A static segment is a snapshot: it holds the records that matched when it was built, plus anything added or removed later by hand, import or workflow.
Each type fits different jobs. Active segments suit anything that should stay current: nurture audiences, suppression lists, workflow enrollment triggers, and dashboards that count contacts in a state. Static segments suit fixed groups: attendees of a past event, the recipients of a one-time email, or the rows from a specific import that you may need to find again later.
Picking the wrong type causes quiet problems. An email sent to a static segment built six months ago reaches people who have since changed role, become customers or stopped engaging, while missing everyone who joined after it was built. An active segment used to record a historical group will drift as records stop matching, so you lose track of who was actually in it. Over time, old static segments also pile up and make the segment library hard to trust.
A simple rule helps: if the question is "who matches this right now?", use active. If the question is "who was in this group at that moment?", use static, and name it with a date. Review static segments on a schedule and archive the ones nobody uses.
