Assets become orphaned when the thing they supported goes away. A campaign ends but its segments (lists in older portals) stay. A form is replaced but the workflow behind it keeps running. A landing page is unpublished from navigation but still live at its URL. A property is replaced by a better one but never archived. None of this breaks anything on the day it happens, so nobody notices.
Orphans add cost over time. Old workflows can still enroll records and send emails nobody reviews. Old segments appear in every list picker and get reused by mistake. Old pages can still be found in search with outdated offers. Every orphan also makes audits slower, because someone has to work out whether it matters.
Finding orphans means looking at usage, not just age. A useful test is: does anything reference this asset, and has it done anything recently? A workflow with no enrollments in months, a segment not used by any workflow, email or report, or a property with no values and no references are all strong candidates.
Retire orphans in a planned way. Confirm with the original owner where possible, record what you are removing and why, turn off or archive before deleting, and keep a short log so the change can be reversed if something turns out to depend on it.
