When to audit HubSpot

Inheriting a HubSpot portal: your first 30 days

A new admin inherits years of other people’s decisions: fields nobody documented, workflows nobody owns, and access nobody reviewed. Spend the first month understanding the portal and setting a baseline before making changes.

Who this is for: New HubSpot admins, new RevOps hires, and teams taking a portal back from an agency.

What usually goes wrong

  • Custom properties with no description and unclear owners.
  • Workflows that nobody can explain, some of them duplicated.
  • More super admins than anyone can justify.
  • No record of what was changed, when, or why.

What to do

  1. Week 1: access and safety

Review super admins and inactive users first. Keep at least two emergency admins and remove access nobody needs.

  2. Week 2: automation map

List active and disabled workflows, their owners, and what they do. Do not delete anything yet.

  3. Week 3: data model

Review custom properties, duplicates, and lists. Document the fields reports depend on.

  4. Week 4: baseline and plan

Record a health baseline and agree the first five fixes with the business owners.

How Ancil helps

  • Gives you a read-only picture of the whole portal in your first hour, with evidence for every finding.
  • Keeps a record of every audit, fix, and decision, so knowledge survives the next handover.
  • Nothing changes in HubSpot without an owner’s approval, which is the right default for a portal you are still learning.

Checks to run first

Frequently asked questions

Should a new admin start fixing things straight away?

Fix access and security risks early. For everything else, understand and document first, because many oddities exist for a reason someone forgot to write down.

Can Ancil help when we are taking a portal back from an agency?

Yes. A read-only diagnosis and baseline gives you an independent view of what you are taking over.
